What Staff Should Never Paste Into AI Tools
Your team is already using public AI tools at work. Most of them have never been told what information should stay out. This is not a technology problem - it is a governance gap that a clear policy can close.
Somewhere in your company, a team member is pasting information into a public AI tool right now.
It may be a client contract draft. A salary spreadsheet. Notes from a board meeting. A proposal with your pricing strategy. An email thread about a personnel matter. They are not being careless - they found a tool that helps them work faster and they are using it. Nobody told them not to. Nobody explained what the tool actually does with the information it receives.
This is happening in companies of every size and industry. It is not a technology problem. It is a gap between what leadership assumes is happening and what is actually happening at the desk level.
What Travels With Every Paste
When a team member copies text into a public AI tool and submits it, that text leaves your systems. Where it goes next depends on the tool, the pricing plan, and terms of service that almost nobody reads.
Most consumer-grade AI tools - the ones available for free through a browser - include terms that allow the provider to use submitted content to train and improve their models. Staff members do not read those terms. They see a useful interface and they work. That is not a failure of judgment. It is the natural behavior of people using tools without guidance.
The categories that create the highest exposure are not always the obvious ones. Team members understand that login credentials should stay private. What they typically do not consider:
Customer and client data - names, contact details, purchase history, support conversations, contract terms, CRM records. Under GDPR and most data protection frameworks, processing personal data of your customers through a third-party AI tool without a data processing agreement is a compliance risk. Most free-tier tools do not offer these agreements.
Financial and strategic information - revenue figures, pricing models, cost structures, investor materials, acquisition discussions, product roadmap details. Once this information has been pasted into a third-party system, it is no longer entirely within your control - and in some cases, your competitors could benefit from what your model learns.
Internal communications - hiring decisions, compensation discussions, performance reviews, board meeting notes, confidential strategy documents. The assumption that internal means confidential does not extend to what staff paste into an external tool.
Legal and deal-sensitive material - NDA-protected content, term sheets, partner agreements, IP documentation, due diligence materials. Pasting deal details into a public model during an active negotiation creates exposure that is difficult to quantify and impossible to reverse.

Most companies do not have a formal AI usage policy. A smaller number have something written down but have not communicated it to the people doing the day-to-day work. Almost none have created guidance specific enough to be actionable.
The result is a gap between what leadership assumes is happening and what employees actually do. Under GDPR, processing personal data of customers or employees through a third-party AI tool requires a legal basis and, in most cases, a data processing agreement with that provider. Consumer-grade free-tier tools generally do not offer these. Most companies have not checked whether the tools their teams are using are covered.
This gap does not close on its own. It widens as more team members independently adopt AI tools, because each new tool used without review is another surface that leadership cannot see or manage.
What leadership assumes: Staff are being careful with sensitive business information.
What actually happens: Staff use the tools that make their work faster, without knowing which uses create exposure.
Why Banning Does Not Work
Some companies respond by banning AI tools entirely. It is a straightforward reaction and it does not achieve its goal.
Staff who find a genuinely useful tool do not stop using it because of a policy announcement. They stop mentioning it. The behavior continues - but now outside leadership’s visibility. This is called shadow adoption, and it creates more exposure than visible adoption does, because the company can no longer see or shape what is happening.
An outright ban does not eliminate the risk. It makes the risk invisible - which is a different and harder problem.The more durable approach is to channel the behavior rather than prohibit it. To tell staff clearly which tools are approved, which information categories must stay out, and why - and to make the safe behavior easier to follow than the unsafe one.
What a Workable Policy Covers
A practical AI usage policy does not need to be long. It needs to answer three questions that staff actually have:
Which tools are approved? Name specific tools, not categories. For most companies, this means enterprise plans that include data processing agreements, rather than free consumer tiers. Be explicit. “Use AI responsibly” is not guidance anyone can act on.
What should never be pasted into any AI tool? Define this with examples from your actual work. Customer records and contract details. Pricing and financial projections. Personnel decisions and compensation data. Deal-sensitive materials under NDA. The closer the list is to the work your team does, the easier it is to apply in the moment.
What can staff do safely with AI? Show the legitimate uses clearly, so that following the policy does not feel like losing a tool. Drafting general communications. Summarizing public research and reports. Creating internal templates. Preparing meeting agendas. Editing text that contains no sensitive data. Most of what staff want AI help with can be done without sharing sensitive information - if they know how to frame the request.

Where the Work Actually Starts
Writing the policy is not the first step. The first step is understanding what your team is already doing - which tools they are using, for which tasks, and what information is traveling with those requests.
A policy written without that picture will not fit the actual behavior in the organization. And a policy that does not fit behavior will not change behavior.
